5 Things That Can Make or Break Your Payroll Process

In the world of work, salary is the most basic need on Maslow’s hierarchy. You can have fantastic company events, comprehensive benefits package, or unforgettable parties. But if your employees’ salaries don’t arrive on time, or worse, arrive incorrectly, your colleagues will become frustrated and dissatisfied. You risk their trust, their sense of security, and consequently their enthusiasm, energy, and effective work.
In other words, you need an accurate, reliable, and well-oiled payroll process that allows you to avoid these mistakes and pay your employees accurately every month.

There are only two factors that matter when talking about the software aspect of payroll:
- How user-friendly the system is and
- How well it is integrated with other HR tools.

And the second point is important because it determines how efficient the data flow is and how easily and quickly the data can be accessed.
You can use three or four different programs for payroll, time and attendance tracking, benefits administration, and payroll management. If they communicate with each other properly, and provide timely and accurate data to each other, everything is fine.
However, if you have to constantly intervene in the process because there is an error in a spreadsheet and a software cannot handle the diacritics, then your payroll holds many potential errors.
Regularly updating and maintaining master data, and properly integrating the software used is the first and most important step towards seamless cooperation with the provider and error-free and timely payments. 2.Jointly Developed Processes
It is very important that you and your provider are fully aware of the processes that need to be completed in a given period.
This is essential because it’s the only way to truly understand and effectively manage the activities involved in the process. Clearly define and communicate who is responsible for each part of the different processes and how they should be handled.
This brings up another related issue, which, while not technically part of the cooperation, can impact nearly every aspect of it: trust. If you don’t trust your provider—and you might have valid reasons for this—and you find yourself recalculating salaries, benefits, and vacations at the end of the payroll process, you’re basically paying twice for the same service. In such cases, it’s important to consider why you lack trust in your partner’s results and whether switching providers might be necessary.

3.Communication
Communication with the provider is closely related to the previous point. Like trust, this is a two-way factor, and it can be made the smoothest with a dedicated contact person.
It can be a valuable sign if the partner already raises the issue of deadlines for completing individual work processes, preparing status reports, or reporting during the negotiation phase. If they don’t, it is possible that they haven’t thought about the tasks and the time allocated to them thoroughly enough. It is important to note how quickly the partner responds to messages, questions, and feedback, as well as whether they request specific data and seek confirmation before starting to work with it. It can also be indicative if you only receive the report at the end of the process, but there is no communication between you in the meantime.
Your job during the process is to provide data and check deadlines. If you send the necessary data at the last minute, you provide an opportunity for error for the provider.

4.Scope of Services
It is important to agree right at the beginning on exactly what services you would like to use within the framework of payroll.
A full payroll service usually looks like this: you collect all the data in the format requested by your provider, and they calculate everything, respond to everything, ask questions about certain elements if necessary, and continuously send status reports in the meantime. At the end of the process, they share a report with you that you can process and use. We will elaborate on this last step in a separate point because it is incredibly important!
If you need something else, for example, you don’t want to outsource all processes or you want to handle certain data yourself, be sure to let the provider know before signing the contract!
5.Reporting
Preparing the final report is a crucial step in the payroll process. Because you will then work with the data extracted from it. The amount of additional work you’ll have depends on your prior agreement with your provider, as mentioned earlier. If your agreement covers payroll processing, accounting submissions, wage payments, and handling taxes and contributions, then you won’t need to worry about these tasks. However, if you also need to prepare an internal company report, it is not at all the same how you get the necessary data.
You need a report that is :
- easy for you to process,
- available in a suitable format,
- contains all the necessary information about employees’ salaries, and
- arrives almost automatically.
This means you won’t have to chase down the report, spend extra hours processing the extracted data, and all the key information will be readily available. Whether you need easily downloadable system reports, detailed custom HR reports, or real-time, user-friendly BI reports, everything you need is right there.
